Getting started

Six steps to a budget that works in everyday life.

  1. Go through the setup

    The setup assistant guides you through the basics: account with buffer, income, fixed costs with contracts and trials, a reserve for annual costs, budgets and security. You can skip any step and do it later.

  2. Create accounts

    Create your checking account and other accounts and enter the current balance. From this the app calculates what’s free and the forecast for the coming weeks.

  3. Complete your fixed costs

    Rent, electricity, phone, insurance, subscriptions: enter everything that goes out regularly once as a recurring expense, including annual costs. They then sit on their day every month.

    Tick off what has been debited. What stays open shows you what’s still coming until the end of the month.

Account & sign-in

Create an account, password, passkey, two-factor and devices.

How do I get an account?

You create an account under Create account. Depending on the installation you need an invitation code from the operator; the registration page tells you whether that’s the case.

Then you confirm your email address via the link in the email. New accounts start with a trial; the operator decides how long it lasts and what’s included.

I forgot my password. What now?

On the sign-in page, click Forgot your password? and enter your email address. You’ll get a link to set a new password. If no email arrives, check your spam folder.

How do I sign in with a passkey?

You set up a passkey under Settings → General in the Your account section. After that you sign in with Sign in with passkey using your fingerprint, face or device PIN, without any password. Fingerprint and face data never leave your device.

How do I turn on two-factor sign-in?

Under Settings → General in the Your account section. You connect an authenticator app and also enter its code when you sign in. Keep the recovery codes safe: they get you into your account if your phone is gone.

How do I sign out another device?

Under Your account in Settings → General you see the most recently active signed-in devices with their name and when they were last active, all of them via Show all devices. There you end individual sessions or sign out everywhere, for example after losing a phone.

Where can I see what happened in my account?

Settings → Activity lists important actions: sign-ins, changes, exports, AI and sharing. For security-related changes, such as a new password or passkey, you also get an email.

How do I change my name, email address or profile picture?

Under Your account in Settings → General with Edit account. For a new email address you need your current password; you confirm it via a link in the email, and the previous address gets a notice.

How do I delete my account?

Under Your account in Settings → General with Delete account. This deletes all your data. The dialog first offers to download your data (with receipts or data only), see also How do I back up my data?.

Expenses & calendar

Add expenses, tick them off, change prices and record big purchases.

How do I add a recurring expense?

Via + Expense at the top, on a phone via the + in the bar. Choose the rhythm (monthly, quarterly, semi-annually or annually), the payment day and the first debit, and optionally an end. The expense then sits on its day in the month, annual costs in the right month.

How do I tick off a debit?

In the month, tap the day and tick off the expense in the side panel, or use the list. Done items appear faded and count as paid. With the bank connection (from Plus) this happens by itself as soon as the matching transaction is assigned.

A subscription is getting more expensive. How do I enter that?

Open the expense, change the amount and choose From a date. The new price applies from that date; earlier months stay as they were. For all months changes the past too, for example for a typo.

Can I get a reminder before a debit?

Yes. In the expense dialog you set a reminder a few days before it’s due, by email, push or both. You choose the default for new expenses under Settings → Notifications.

What are templates?

Templates save typing for expenses you enter often. In the expense dialog choose From template instead of Enter again and pick the template. You manage them under Settings → Templates.

What is the “One-time” page for?

A one-time expense in the month is a normal item in the calendar, such as the weekly shopping. The One-time page is for larger purchases like a washing machine, holiday or car: with tags, notes and optionally warranty and receipts. That way you see over the years what a topic cost.

How do I hide amounts, for example when I’m out?

Tap the eye icon at the top (Hide amounts). All amounts stay hidden until you show them again with the same icon.

Income & budgets

Enter income, create categories and set budgets.

Where do I enter my income?

In the month, right at the top. You decide whether the amount applies every month or only this month. Income is the basis for “left this month”, the savings rate and the balance forecast.

How do I create my own categories?

Under Settings → Categories with name, color and icon. You’ll see the color everywhere, in the calendar as well as in the analysis.

How do I set a budget per category?

On the overview, open the dialog for all categories in the Budgets section and enter monthly amounts. The app shows how much is already gone and speaks up when a budget is almost used up or exceeded.

The rest of a budget counts as planned in the current month; in past months it expires. Tips on setting budgets are in the guide Budget per category.

What’s the difference between “left this month” and “free on the account”?

Left this month is your income minus the month’s expenses. Free on the account is your balance minus everything still going out until the end of the month, so the money you can really use. More in the guide What’s left at the end of the month?.

Why don’t older months count in the statistics?

The statistics start with the first month in which you recorded something, so empty months don’t distort the averages. You change this under Settings → General with Statistics from.

Accounts & forecast

Accounts, balance, buffer, forecast and loans.

How do I create an account and enter the balance?

Under Accounts & loans you create your checking account, savings account and other accounts and enter the current balance. The history appears as a line. With the bank connection (from Plus) balances come in by themselves.

What does the balance forecast show?

For every account the app looks 60 days ahead: from today’s balance, open debits, savings rates and expected income. The forecast appears dashed in the account’s history. If an account is about to go negative, a tip warns you, by email or push if you like.

Can I be warned earlier, not only at €0?

Yes. Edit the account and enter a buffer under Warn below, for example €300. The app then speaks up before the forecast balance drops below it. Why a buffer is worth it is explained in the guide Never go into overdraft again.

How do I exclude a savings account from “Free on the account”?

Edit the account and untick Counts toward “Free on the account”. The balance stays visible but no longer counts toward what you can spend in the month.

How do I enter a loan?

Under Accounts & loans with amount, interest, payment and term. The app automatically adds the payment as an expense, including a different final payment. You also see the remaining debt, the repayment plan and the end of the term.

Bank connection & CSV

Connect your bank, assign transactions and import statements.

How do I connect my bank account?from Plus

Under Settings → Bank connection you choose your bank and confirm the permission in your banking app. The connection runs through a licensed service under the European payment services directive PSD2, with read-only access. After that, new transactions arrive automatically twice a day.

What happens to new transactions?from Plus

They land under Accounts → Transactions. If a transaction matches a planned expense, it is assigned to it and the expense counts as paid. The app books known merchants via learned rules; everything else comes as a suggestion to confirm. You can detach or undo every import.

What are bundles?from Plus

A bundle combines many small transactions, for example all supermarket purchases of a month in one item per category or merchant. That keeps the calendar clear even if you pay by card every day.

Can I import transactions without a bank connection?from Plus

Yes, as a CSV file from your online banking: under Accounts → Transactions with Import CSV. You see a preview and assign the columns; the app remembers the mapping per account. A step-by-step guide is in Importing bank transactions as CSV.

Contracts & trials

Notice periods, trials, weekly prices and price increases.

How do I get reminded before a notice period ends?

On the recurring expense, tick Contract with notice period and enter the end of the term, the notice period and the renewal. The app calculates the last day to cancel and reminds you 7, 14 or 30 days before.

You see all contracts with their dates under Analysis → Fixed costs & subscriptions. How notice periods work is explained in the guide Cancel contracts on time.

What do “Cancelled” and “Keep” do?

After the reminder, you decide. Cancelled ends the debits at the end of the term. Keep lets the contract continue; the app only speaks up again for the next term.

How do I enter a trial?

On the expense, tick Trial and enter what the trial costs, by when you have to cancel (Cancel by) and from when the full price applies (Full price from). A trial price is booked as a separate expense.

The app reminds you 1, 3 or 7 days before the last day to cancel and once more on the last day. After that you choose Cancelled or Keep. What to watch out for with trials is in the guide Free trials without traps.

Can the app fill in a trial from the confirmation email?Pro

Yes, with the AI assistant. Take a screenshot of the confirmation or use the PDF and choose Fill in from receipt in the expense dialog. The app sets the trial price, cancel by, full price from and the later price, even if the email only says “12 weeks” or “after the tenth issue”.

The subscription is priced per week. How do I convert that?

Below the amount there’s Convert price per week. You enter the weekly price and the app calculates the monthly amount: weekly price × 52 ÷ 12. €7.10 a week becomes €30.77 a month.

What does the app do when a price goes up?

When an expense gets more expensive, the app shows a tip with a note about the special right to cancel, and as a notification if you like. You enter the new price from an effective date, see A subscription is getting more expensive.

Savings goals & reserve

Savings goals, savings rates and the reserve for annual costs.

How do I create a savings goal?

Under Savings goals with a target amount, optionally with a target date and starting amount. With a savings rate the app books an expense “Saving: …” every month. It shows whether you’re on plan, which monthly rate is needed and when you’ll reach the goal.

Can a savings goal be linked to a savings account?

Yes. Then the savings account provides the goal’s balance. Without an account, the balance comes from deposits and rates; you then enter deposits and withdrawals by hand.

What is the reserve for annual costs?

A pot for everything that only comes quarterly, semi-annually or annually, such as insurance or the broadcasting fee. The app spreads these costs across the months and books the total as a savings rate. When a debit is due, the reserve pays it; in that month it doesn’t count again toward “still open”.

What happens if the reserve isn’t enough?

If the pot isn’t enough for one of the coming dates, the app shows a warning. Under Adjust reserve you can add a starting amount, choose an account of its own such as a savings account, or take individual costs out of the reserve.

What happens to reached or old savings goals?

You can archive them; they then disappear from the list but are kept. When deleting, you decide whether the previous rates stay in past months.

Receipts & documents

Receipts, warranties and reports.

How do I attach a receipt?from Plus

In the dialog of an expense or one-time purchase you add a photo or PDF up to 10 MB. Photos are rotated, downsized and stored without metadata such as the location automatically. Your license determines how many receipts you can store; from 80% you get a notice.

How do I keep track of warranties?from Plus

For a purchase under One-time you enter Warranty until, with quick choices of 2, 3 or 5 years from the purchase date. The app reminds you 30 days before it expires. With the With warranty filter you find all purchases with a warranty. What to keep and for how long is in the guide Receipts and warranty.

Can the app read a receipt?Pro

Yes, with the AI assistant: Fill in from receipt in the dialog takes amount, merchant, date and category from the photo or PDF. With Receipts & warranty (from Plus) the file is attached to the entry as a receipt right away.

Where do I find reports, receipts and exports?

On the Documents page: year in reviews and monthly reports as PDF, all receipts with search and a jump to the entry, and your data exports. You can download reports or have them emailed to you.

What is the year in review?

A short full-screen story with a year’s totals, biggest items, categories, savings goals and loans. You open it under Year in review; as a PDF you find it under Documents.

Sharing

Share with your partner, family or flatmates and settle shared costs.

How do I share with my partner or flatmates?Pro

Under Settings → Sharing you invite the person by email address or by link or code. They need their own account and have to accept the invitation.

Then you offer what you share: accounts, individual expenses, one-time purchases, your income, savings goals, categories or loans. The other person accepts each share separately. Your data always stays with you.

The invitation didn’t arrive. What can I do?Pro

For the open invitation under Settings → Sharing there’s Resend, at most once an hour. Whether an email or push message arrives depends on the other person’s settings; they see the invitation in the app in any case. If they don’t have an account yet, nothing arrives; then the invitation link is the better way.

What do “View” and “Edit” mean?Pro

With View the other person sees the shared entry. With Edit they may also change it, for an account for example add expenses to it. More rights have to be accepted again; fewer apply right away. Income and loans can only be shared for viewing.

How do we settle shared expenses?Pro

The settlement under Sharing shows who owes whom how much from shared expenses and purchases. Per entry you choose the split: half and half, only me, only the other person or a custom share. What goes out from the joint account doesn’t count.

After the transfer, tap Settlement done; this starts a new period. Models for fair sharing are presented in the guide Split shared costs fairly.

How do I stop sharing?Pro

Either side can end a single share or the whole connection at any time under Settings → Sharing. Your own data stays unchanged; shared entries are just no longer visible to each other. For a shared category, the other person gets their own copy with their entries.

AI assistant

What the AI can do, what it sees and what it costs.

What can the AI assistant do?Pro

It answers questions about your finances and how to use the app and suggests actions, such as adding an expense or changing a budget. Nothing is carried out until you confirm. On top of that come tips on the overview and analysis, reading receipts and category suggestions for new transactions.

What do I need for the AI assistant?Pro

Your own key from OpenRouter, a service through which you can use many AI models. You enter it under Settings → AI assistant and choose a model. OpenRouter bills the costs directly to you; the key is stored encrypted.

Which data does the AI see?Pro

Only what you share. Under Settings → AI assistant you choose building blocks such as monthly totals, categories, subscriptions or accounts, and the period. Names can be replaced with placeholders and amounts rounded. A preview shows exactly what is sent. Name, email address, IBAN and notes never go to the AI.

How do I keep AI costs under control?Pro

Under Settings → AI assistant you see the costs per area and model for the last 6 months. With a monthly budget the app warns from 80% and stops the AI at 100%.

Notifications & phone

Set up push and email, install the app.

How do I get push messages?

Under Settings → Notifications you turn on push for This device and allow notifications. For each occasion you then choose email, push or both. A test message checks whether everything arrives.

Why don’t push messages arrive on my iPhone?

On iPhone and iPad, push only works from the app on the home screen, from iOS 16.4. Open Ausgabentracker in Safari, tap Share and then Add to Home Screen. Start the app from there and turn on push in the settings.

Can I install Ausgabentracker as an app?

Yes, as a web app with its own icon. On Android via the browser menu (Install app or Add to home screen), on iPhone in Safari via Share → Add to Home Screen. Financial data is only stored on the device if you turn on Available offline on this device under Settings → Data.

What can the app notify me about?

About due expenses, exceeded budgets, accounts going negative, price increases, ending notice periods and trials, expiring warranties, the bank permission and new transactions, the month-end summary, the license and sharing requests. You turn each occasion on or off individually.

What’s included in Basic, Plus and Pro?

Basic includes all core features: calendar, budgets, accounts, forecast, contracts, savings goals and notifications. Plus adds the bank connection, CSV import and receipts & warranty. Pro also includes the AI assistant and sharing with other people.

That’s the usual split; what counts is what your License page shows.

Where do I enter my license key?

On the License page, which you also reach via the user menu with Manage license. There you also see your active plan, the included features and the limits.

What happens when my license expires?

Your data is kept. The app reminds you beforehand with a notification. Without a valid license it shows the license page until you enter a new license.

How do I back up my data?

Under Settings → Data you export a backup as a file, with areas of your choice. You can import the same file again later, merging or overwriting. For Excel or Numbers there’s also the export as a table (CSV).
